Choose a layout you can read quickly and test as text. Application systems differ in how they parse PDF and DOCX files. Tables, sidebars, graphics, and text boxes sometimes change extraction order or hide important facts. A single-column document with plain headings is a conservative starting point. It is not a universal system requirement.
Put Essential Facts in Text
Include your name, contact route, role history, dates, achievements, skills, education, and relevant credentials as selectable text. A logo or skill bar is not a substitute for a written qualification. Keep contact details in the main document text so they remain visible after export.
Use familiar headings when they fit your content:

A creative heading is a style choice, but a plain heading gives both people and parsers a clearer signal. Keep one date format throughout. Use a legible font and size that remains readable at normal zoom and in print. Do not shrink text solely to meet a one-page target.
Check the Exported File
- Save the file format the posting accepts. Do not assume PDF or DOCX is always preferred. Many systems support both within their published limits.
- Open the final file on another device or in a browser. Look for missing glyphs, clipped text, and broken links.
- Select and copy all text into a plain-text editor. Check that name, contact information, headings, jobs, dates, and bullets appear in a useful order.
- If the order is broken, simplify the affected columns, tables, or text boxes and export again.
- Ask another person to find your most relevant result and the supporting evidence in under a minute. Improve the document if they cannot.
A local parser or resume comparison tool can expose extraction problems. Its text view and match score describe that tool’s processing, not the employer’s configured system. Use synthetic personal details when testing a third-party service unless you have checked its data handling.

Suppose a two-column file copies as:

The columns mixed skills with a job record. Move skills below the experience section and export again. A useful result would read:

Analyst, Acme Inc., Jan 2024 to Present
Skills
Linux, Python, SQL
These are illustrative outputs. Check what your own exported file contains. If a table parses cleanly and a posting accepts it, the observed result matters more than a blanket ban.
